1000 Mile travel updates

Hi Everyone

The Finance department have had several queries raised about the new travel booking system and I need to clarify with everyone, for any international quotes and travel booking requests you must call or email Jo Parsons at 1000 Mile, you can use the system to assess options but only Jo will be able to make international bookings and find the best rates.

You can use Serko Zeno for booking domestic flights and travel arrangements without contacting Jo from 1000 Mile, but not for international travel. Apologies for any confusion.

A little background about Jo Parsons is attached.

Jo will also be on-site at the Hudson Institute on the second Thursday of every month (starting 13 February, 12 March, 9 April) to help you in person - if you want to book some time in person on those days, please send Jo an email or a meeting invitation for the days that she is on-site.

In addition, the 1000 Mile site has been updated, with the highlights below:
  • 1000 Mile have added a new cost centre called "leisure" and a new reason for travel called "personal" - so that if you are booking a personal trip, you can easily sort this into this reason for travel.
The main reasons the Hudson Institute requests you use 1000 Mile are:
  • The Institute has a duty of care to make sure that you are safe when travelling for work purposes – we need access to a dataset searchable for staff travel itineraries i.e. which staff are in China, have visited China recently – when and where.
  • Using 1000 Mile provides a single point of contact that saves the booker and/or traveller the frustrations and time-consuming task of searching various sites for quotes and comparisons.
  • When changes need to be made, or there's an emergency situation, having an agent to assist quickly is invaluable.
  • If we all continue to use 1000 Mile, then we will build a detailed dataset that will inform future price negotiations with the airlines and other travel industry service providers.
You should contact Jo for any queries, rates, discrepancies (particularly around Zeno) that come up. Jo will be able to quickly advise you, resolve the vast majority of queries and, where necessary, coordinate with their technical experts behind the scenes at 1000 Mile.

If you have any questions, please don't hesitate to email me either.

Thank you very much.
